Hiring is vital to your business growth. However, building a hiring system can be challenging, and business owners don’t always know where to start.
In a recent interview, Business Success Consulting Group CEO Adi Klevit and CEO of Get Staffed Up Brett Trembly discuss the benefits of systematically hiring and staffing companies to support rapid growth.
Read on to find five simple steps you can use to build a hiring system.
Use These Simple Steps as You Build a Hiring System
Are you ready to create a system for hiring and training valued employees? Follow these five steps to get started:
1. Create an accurate job description.
An accurate job description is vital to the hiring process. When a business owner is just starting out, it may be hard to conceive of a job description because, well, everything needs to be done!
To create this initial job description, list tasks you’d like to delegate to the new employee and then continue to step two. Be sure to finish step two before posting a job listing.
2. Ensure you know the five to ten repeatable tasks the person will perform.
Now that you have a long list of actions you want the person to perform, find five to ten repeatable tasks that will fall under their purview. There may be some one-off tasks, but the repeatable actions will form the foundation of your job listing.
Look at what all of these tasks relate to. They may all involve assistant functions, reception actions, marketing functions, etc. Or, they may be all over the place and you might have to narrow them a bit to ensure you can create a discernable job posting.
Once you have the actions narrowed down and an idea of the duties you will need, you can post the job.
3. Document processes.
There are two sets of processes to document here.
First, you need to document the hiring process. So, you should screen record and write out the process of creating a listing, set up and refine an interview process, and build a process for basic onboarding (producing and signing appropriate documents, setting up payroll, etc).
The second set of processes to document are the repeatable tasks the new employee will do. If you have been performing these tasks, documenting them should be fairly straightforward. Video a walkthrough of the task, then write out the process you documented so they have a step-by-step list they can follow.
4. Set up a scoring system so you can check on their progress.
Once you hire someone, you want to create a scoring system so that you can see how they are doing and ensure they are performing their work satisfactorily.
5. Include a process for process documentation.
Finally, you will want to record the process of documenting business processes. This sounds very meta, but it’s basically just recording your own system, then writing out the process. Having this process available makes it easier for you to systematize your business and will make it simpler for employees to help you along the way.
